How to contribute or claim resources

The Warp It system has been developed to make the transfer of JCU owned resources between JCU staff (to be used only for JCU purposes) simple and easy. There are a lot of problems inherent in transferring equipment- which can be avoided with some straightforward guidance.

To make sure the transfers are efficient and safe, the following guidelines should be followed.

Contributing JCU owned resources

Items can be added to the system by clicking on ‘Add an Item’ in the left menu bar on the user portal. Further information on adding an item can be found here. Contributors must ensure they have the relevant and necessary permissions from their department before uploading the item.

The contributor should describe goods accurately. The upload form has been designed to make this process as easy as possible. Where you see a [?] hover over it for guidance.

For example, offices are usually cramped and so the correct dimensions are essential to ensure the efficient reuse of the item. If a desk is transferred and the size is wrong, then the whole process has been a waste of time and resources.

The contributor assigns responsibility for ownership of the contributed item to the claimant. The contributor makes no warranty or representation of any kind, either expressed or implied including (without limitation) any warranty of merchantability or fitness for purpose in relation to the receipt or use of the contributed item.

Claiming JCU owned resources

Items can be claimed by searching for the required item using the search tool. Further information on searching for an item can be found here.

When claiming items, the claimant takes responsibility for the ownership of the item. This responsibility will pass to the claimant upon collection of the items from the contributor. It is recommended in all cases that claimants make an appointment to view an item before committing to responsibility for ownership. It is important that claimants satisfy themselves that the item meets with their approval. 


By claiming an item, the claimant:


a) acknowledges and agrees that the claimed item will be for JCU use only;
b) is responsible for ensuring that the claimed item is safe and fit for its intended purpose; and

c) confirms that they have received the required authority or permission, from an authorised person in their department, to claim the item.

Expired items

Items contributed to the Warp It system will be made available, for a fixed period, to be claimed by a JCU staff member to be used for JCU purposes.

If an item is not claimed by the end of that fixed period, the item will be removed from the Warp It user portal and:

a)       the item may be retained by the contributor;

b)       the contributor may make the necessary arrangements (including the submission of a MEX request and the provision of a charge code) to have the item collected and placed in JCU storage; or

c)       subject to the contributor obtaining the necessary approvals from an authorised person in their department and JCU Procurement, the item may, through the Warp It system, be donated to a pre-approved charity organisation.
