The storage issue and double handling - how we solve it


Double handling of assets is a waste of time and energy. You also double the risk of damaging the asset and the risk of damaging your staff who are transporting the asset.

The problem with double handling

Two movements instead of one. This doubles the time taken and the transport.
Double the chance of damaging the asset.
Double the chance of damaging the person carrying the asset.

When you are redistributing and reusing assets around the estate - if you move those assets into a store area you are double handling the assets.
The challenge is to find a home for the asset while it is still in it's old location. With time demands this is often difficult.
On the system we use a couple of features which make the likelihood of transferring an asset from disposer to new owner directly much more likely.

1) Wishlists

Users can add items they are looking for to their wishlist. As soon as someone else adds that item the member gets an alert and they can claim the item. The item is then moved directly from the disposer to the new owner.

2) Watchlists

Members can preload the details of assets they want to dispose of in the future. This might be part of a building clearance - where the clearance won't happen for a month or two. Or it might be that the member has just bought a replacement chair, but the old one will not be available till it is delivered. It is challenging to get staff to think ahead like this - but in time with policy and communication it will happen. When as asset is preloaded- other users can view it and book it for when it becomes available. We call it the watch list. The process again introduces the disposer with the new owner directly.

These two processes result in a reduced reliance on storage facilities.

The problem with storage

The contents of a store can get out of hand.
When items are stored they can get damp, dusty and soiled rendering them useless.
If items are stored for a long period they can get obsolete!
Staff have to visit the store to see items. This takes time and introduces risk

Unless it is managed correctly stores can actually just be a glorified dumping ground for waste items. For those items that still end up in store, we do also provide a stock management system so you can track exactly what is in the store. We also provide an online marketplace so that staff do not have to visit the store and waste time.
